Responsibilities include, but are not limited to: ensuring the proper implementation of sound internal controls; interfacing with the Executive Director and the Department Managers to effectively manage the budget and help identify financial areas which may need attention; identify and implement procedures which will enhance the fiscal operations of the Community; generation and maintenance of accurate financial statements and accounting records.ESSENTIAL DUTIES AND RESPONSIBILITIESThe following duties are normal for this position. This list is not to be construed as exclusive or all inclusive. Other duties may be required and assigned. Prepare and monitor all monthly billing and collection processes utilizing established policies, procedures and tracking systemsOversee cash controls including the depositing and posting of cash receipts and implementing and monitoring controls over petty cashMaintain daily cashbooks for operational accounts and prepare monthly bank reconciliation. Cashbooks and bank reconciliationMonitor and oversee the processing of accounts payable, specifically:Match invoices to purchase ordersCheck for proper approvals and verify coding of invoicesInput A/P into the accounting systemBiweekly, submit a check preview report with the appropriate backup to the Executive Director for approvalUpon receiving Executive Directors approval of the check preview report, run checks for vendorsSubmit checks and appropriate backup to Executive Director for proper signaturesMail checks to vendorsEnsure appropriate assignment of departmental expenses and supporting documentation is executed and maintainedCoordinate the processing of payroll and employee benefits; and the payment of insurance, real estate taxes and related reporting requirementsPrepare and enter journal entries and maintain appropriate sub schedules for Balance Sheet accounts including but not limited to:Accounts ReceivablesPrepaid ExpensesAccrued Interest ReceivablesInvestments and Restricted FundsFixed and Intangible AssetsOther AssetsAccounts PayableOther LiabilitiesAccrued ExpensesProcess the monthly financial statements including but not limited to:Detailed Balance Sheet compared to the previous month showing increases and decreases in the account balancesSummary and Detailed Income Statements in Departmental format compared to the budgetPrepare Management reports including but not limited to:Monthly Occupancy ReportsMonthly Food Service ReportMonthly Payroll Variance ReportFixed Assets and Depreciation SchedulesAssist the Executive director in the preparation of a monthly operations and financial analysis package to be presented to the owner and investor groups.Maintain resident, vendor, employee and financial accounting filesPrepare and submit monthly sales tax reports and paymentsAssist in the preparation of the annual financial budget, annual audit schedules, tax reports, and any state required reportsOther duties as assigned by supervisorSUPERVISORY RESPONSIBILITIES None Concierge at SenecaQUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
